In the lead up to the festive season and the Enhance Family Day Care office closures, it is vitally important to ensure you are supported and prepared in the event of an emergency.
The Enhance FDC offices will be closed from Saturday 24 December 2022, to Sunday 8 January 2023, in celebration of the holiday season. If you experience an emergency during this closure period, please contact us via our emergency number, 07 3899 1655.
Emergency situations include:
When a child visits a doctor or the hospital due to an incident that occurred whilst in care.
The health and wellbeing of an Educator is affected and cannot work.
A confirmed case or close contact of COVID-19.
The closure of an Educator's service due to a natural disaster or if directed by Queensland Health.
Non-emergency situations include:
Enrolments of new children.
Changes in booking requests.
PIN issues or Harmony issues (please use paper timesheets if required).
The on call process for the holiday season involves:
Confirm the event as an emergency situation by referring to the above list.
Contact the Enhance emergency number (07 3899 1655).
Explain the situation and await assistance regarding appropriate action.
If an emergency was to occur i.e. a bushfire or flood, Enhance Family Day Care will make the decision to close a service, if schools in the area are also closed. If you have received an order to evacuate, or other warnings from an emergency service, please evacuate immediately and inform your Enhance service as soon as it is safe to do so.
In the event of an emergency, our primary concern is to ensure you, all children, families and the local community are safe. If our office is ordered to evacuate, you will receive an email from us informing you of our whereabouts.
Bushfires and Asthma Smoke from bushfires is a common trigger among children and adults with respiratory conditions, like asthma. In the event of an emergency, such as bushfires, it is vital to understand the risks and know how to take appropriate action. Taking care this storm season With storm and cyclone season approaching, it is important to know what to do in the event of a natural disaster, this includes having emergency kits and plans in place. If you require assistance, please contact your Service.

We ask that you review the following checklist, including deadlines, to ensure we can assist you in your preparation for the new year and to maintain CCS and Family Assistance Law compliance.
Given that your payments are now processed weekly and the CCS Help Desk will be closed between Christmas and New Year, your standard payment scheduled on 3 January 2023, will be disrupted for this week only. Upon review, changes have been made to the payment schedule to ensure minimal impact on you. Please see table below for details on when payments will be made during this period.

Public Holiday Communication- National Day of Mourning
Good afternoon Educators
Following up from the recent announcement from the government regarding a one-off Public Holiday on Thursday 22/09/2022, please see below correspondence from Department of Education.
Thursday 22 September has been declared an official public holiday and National Day of Mourning for Her Majesty the Queen. Normal public holiday provisions apply:
• services can submit absences and claim Child Care Subsidy (CCS)
• providers that charge a family for an allowable absence on this day must collect gap fees from the family.
What the means for Educators.
1. Educators will need to discuss with families if they are operating on this day, if you are operating, please discuss with families if you will be charging your standard rate or Public Holiday rate. If you are using the PH rate, you will need to manually tick this box in the timesheet in Harmony.
2. For Standard Under School age bookings- Normal Public holiday provisions apply, if you have a booking in place and your charging practices are to charge for Public Holidays for booked days, please mark absent on your timesheet.
3.For Vacation Care Booking- Educators can charge for a public holiday if there is a pre-arranged booking in place, this includes the parent accepting this arrangement via the Enrolment Confirmation in Harmony. Please reach out to your admin if you are unsure if you have completed this task.
4. Educators must charge the gap fee for the session of care as per the communication sent out from the Department.
Please discuss with your families if you are charging the absent day, cancelling the session, or potentially moving to another day.
Please note the offices of Enhance Family Day care will be closed on this day. The Emergency number of 38991655 will be switched on for educators that require support on this day.

Important Update | Risk Mitigation Checklist
As part of our ongoing focus on prioritising child safety, whilst delivering quality home-based education and care, we are launching the annual Enhance FDC Residence Assessment.
Following consultation with the Educator Representative Group and Practice Mentors, we are asking all educators to complete a Risk Mitigation Checklist, once per year. The checklist, inclusive of approved and unapproved spaces, will support us with adhering to regulation and safety measures. What next? Review the Risk Mitigation Checklist below, considering: Questions about potential risks within a FDC residence Declaration of nothing hazardous in the home that could cause harm to children in care Space to document risks and mitigation strategies When completing this checklist consider the following questions and potential risks: Is there anything in your residence that might/would be harmful to children? Is there anything in this room that might/would be harmful to children? Complete the Risk Mitigation Checklist using the list of harmful items, below. If you have any questions please contact your Practice Mentor for clarification. Send the completed Risk Mitigation Checklist to your Practice Mentor by Friday, 2 September 2022
Chemicals - commercial grade cleaning products, agricultural pesticides, fertilisers, illegal substances, illicit drugs or mixing agents; poisons of any kind, pool chemicals.
Dangerous weapons - firearms, ammunition, fireworks or explosives.
Potentially dangerous substances or household items - house paint, fuel, domestic or non-domestic cleaning products, batteries (large or small), building materials (historically hazardous or recently supplied).
Viewing or reading material of objectionable content.
We have developed this process to be a simple yet precautionary measure that will ensure all Enhance FDC residences are safe for everyone, particularly children and educators.

Following our recent communication regarding the Pandemic Leave Disaster Payment, the Federal Government have announced they will be reinstating the $750 payment for eligible people until 30 September 2022.

As this is a business decision for each Educator, please take into consideration the following details, should you decide to waive the Gap Fee: Speak to an Enhance Admin team member for advice. If you choose to waive the Gap Fee for families affected by COVID-19, your decision should be fair and equitable for all families registered with your service. Provide written evidence to your service of dates and reason of isolation (relevant to both family and or educator circumstances). Include educator comments to child’s timesheet. Please list details behind the absent day, for example, child isolating due to COVID-19 or Educator isolating due to COVID-19 (waiving Gap Fees). Considering the recent increase of and forecasted number of positive COVID-19 cases across Queensland, we would like to take this opportunity to share preferred protocols to help safeguard yourself, the children in your care, families and team members.
Confirmed positive COVID-19 cases and Close Contacts: Please follow the current Queensland Health advice regarding close contact quarantine and testing requirements here.
Follow the steps outlined by Queensland Health if you are unwell or have been in close contact with a person who has COVID-19 here.
Health and Hygiene Reminders: Educators should review the Enhance Health and Hygiene Commitment Plan here Provide hand sanitiser or hand washing facilities upon entry to the service for families and children In some instances, it may be preferable to move the parent sign in area outside and limit the process to one family at a time Encourage social distancing at arrival and departure times Display visitor face mask (optional) requirement poster Ask your Practice Mentor to wear a mask during support visits and at Educators' discretion Limit drop off and collection of children to one guardian (where possible) Hand sanitiser station on entry (close to Visitors Log, Parent log in station) Clean and wipe the sign in and sign out devices and areas after each parent Maintain regular hand washing with children, on arrival into the service, regularly throughout the day, in addition to normal hand washing times, and before leaving the service Clean door handles, toys, bathroom and eating surfaces regularly Utilise outdoor play spaces to minimise instances where children are in confined areas for long periods of time (where possible within your daily program and routine and during support visits with your practice mentor) Consider the ventilation within your care setting e.g. regularly open windows, breezeways, screens allowing natural ventilation within the care setting Communicate with parents regarding unwell children in care Ensure the Visitors Log is signed - including name, contact information, date and time of visit If you become aware of a positive COVID-19 case or close contact, being either yourself, a family member, a child in your care, or a family member of a child, please contact your Practice Mentor immediately. If you become aware after hours, please call (07) 3899 1655 to alert the service and receive further advice.

As mentioned at our recent educator meeting, we are here to support you in role as a Family Day Care educator. Part of this support involves ensuring we have training and policies to protect you in your role.
In 2020, we developed a CCS/FAL (Family Assistance Law) training handbook and quiz, which was completed by all our Enhance Family Day Care educators at the time. We have now reviewed this training and made amendments to ensure you remain up to date with the details of CCS and FAL.
To refresh your knowledge and understanding, please complete the updated CCS/FAL Compliance Handbook, quiz and acknowledgement by Monday 1 August.
The purpose of this training is to strengthen your understanding of the Child Care Subsidy, Family Assistance Law compliance and the obligations of the Approved Provider (Family Day Care Association of Queensland).
After viewing the Handbook and completing the quiz, you will be equipped with the knowledge of how the Approved Provider ensures that compliance is met and how they work with their services to decrease the risk of non-compliance occurring.

CELEBRATING NAIDOC WEEK 3-10 July 2022
This week, Enhance Family Day Care are committed to acknowledging and celebrating NAIDOC Week.
What is NAIDOC Week? National NAIDOC Week celebrations are held across Australia in the first week of July each year (Sunday to Sunday), to celebrate and recognise the history, culture and achievements of Aboriginal and Torres Strait Islander peoples.
NAIDOC Week is an opportunity for all Australians to learn about First Nations cultures and histories and participate in celebrations of the oldest, continuous living cultures on earth. You can support and get to know your local Aboriginal and/or Torres Strait Islander communities through activities and events held across the country.
We have asked families to share with you any events or traditions they partake in to mark NAIDOC Week, to assist you to extend and scaffold children’s learnings. We encourage you to share with your families and Practice Mentor any special NAIDOC Week activities and learning opportunities you are facilitating in your service.

END OF FINANCIAL YEAR COMMUNICATION
As the end of financial year quickly approaches, please find the essential administration information you need detailed below.
Weekly Processing As discussed in the Organisational Meeting on Tuesday 10 May and communicated in the email sent out on Wednesday 11 May, weekly processing will commence for timesheets, beginning on Wednesday 11 July 2022. Please see the table below detailing how payments will be received:
What you need to do:
Harmony Weekly Invoicing If you have your Harmony invoice account set to fortnightly in arrears, you may wish to change these settings to align with the new weekly pay cycle, from Friday 15 July 2022 (this cannot be done prior to this date). Please follow the steps outlined below to set up your weekly pay cycle. Alternatively, if you wish to continue invoicing fortnightly, no further action is required.
Go into Harmony 'Accounts' - click on 'Settings'
On the right hand side of your screen, under 'Scheduled auto invoicing', change the 'occurs every' to 1 Week, in arrears
In the 'Next Scheduled Auto Invoicing Run date' box change to 22/07/2022
Once you can see 1 week, click the green 'save' button on the top right corner of the page

Fee Schedules Thank you to those of you who have already submitted your new fee schedules. If you wish to increase your fees, please ensure you submit your new fee schedule to Administration and remember to change dates, allowing for the required four (4) week notice period availed to families.
Complete the fee schedule using this template. The fee schedule is sent out to families on enrolment.
Complete all sections on the fee schedule prior to emailing through for approval.
What’s new?
Payment Advice changes for Educators and Families In consultation with the Educator Representative Group and feedback from educators and families, we have reviewed the current process in which Payment Advice and Statements are sent from the service to educators and families. From Monday 11 July, a new process will take place, as outlined below:
Educator Payment Advice You will no longer receive family Payment Advice via email, after processing each Thursday. As soon as the service is finalised, you now have the ability to access this report via the 'Reports' function in Harmony. To receive this report, you must complete the following steps:

Select report - drop down box to payment advice
Set report parameter - select billing period
Choose the timesheet, week ending date
Family Payment Advice The Family Payment Advice is currently sent from the service to your families. This Payment Advice does not include any receipted amounts paid by families to you, their educator. After consultation with the Educator Representative Group and Feedback from families and educators, we have concluded that this advice is causing confusion with regards to what payments families owe. From Monday 11 July 2022, Enhance will no longer be issuing this payment advice. Please email invoices and receipts directly to families, ensuring that accounts are kept up to date.
Families Statement of Entitlement This statement is required by law to be sent to families after the processing of timesheets from the service. This statement lists the total fee, parent gap fees, booked hours and the times the children are signed in and out of care. From Monday 11 July this statement will be sent to families on a weekly basis.
